Duties and Responsibilities

PAYROLL ADMINISTRATION

Performs analysis of pre-processing reports for accuracy and integrity of payroll. Coordinates and reviews Bi-weekly and Monthly Payrolls. Processes and performs reconciliations of Lawson jobs and reports.

Reviews and evaluates pay period exceptions. (Duplicate time record report, Excessive earnings report, etc.)

Oversees the printing and sealing of all paychecks and direct deposit statements.

Prepares and transfers direct deposit file to the bank with subsequent validation of file transfer.

Coordinates the documentation of bi-weekly and monthly payrolls.

Analyzes, maintains and prepares federal and state tax reports and payments.

Responsible for Absence Management Processing (Paid time off).

Assists in the training and supervision of the Payroll Services Coordinator position, as well as one student worker position. Provides support to the University Employee Self Service and Kronos Help Desk.

Performs E-Pay system administration.

Coordinates the timely calculation and allocation of short term disability accruals.

Trains university staff on proper payroll policies and procedures.

Participates in the discussion, testing and implementation of significant payroll system upgrades.

W- 2 AND OTHER REPORTING

In conjunction with the Payroll Manager, coordinates and reconciles the annual W-2 files.

Responsible for the preparation of annual federal and state survey requests.

Coordinates the University file for Unemployment Insurance to be filed with the state.

KRONOS
  • Oversees Bi-weekly global sign-off on electronic time cards (Kronos).
  • Oversees manual time and earnings adjustments.
  • Oversees the coding and reconciliation of manual time cards.

    GENERAL
Provides documentation and support to various audit initiatives including fiscal year end, federal grant or internal audits.

Responsible for data mining to assist in the preparation of certain insurance contract deliverables in conjunction with Risk Management.

Prepares and reconciles deposits made to employers federal credit union.

Analyzes vacation payouts.

Calculates and initiates retroactive employment/payment.

Answers inquiries regarding employment verification.

Maintains employee confidence and protect operations by establishing a culture of confidentiality of all information.

Performs other duties as assigned.

Minimum Education and/or Work Experience

Bachelors degree in Accounting or Finance required. At least three to five years experience in a computerized accounting environment preferably within Payroll, Accounting or Finance.

Bachelors degree in Accounting or Finance required. At least three to five years experience in a computerized accounting environment preferably within Payroll, Accounting or Finance. Strong communication (written and verbal) and customer service skills (tact, professionalism and courtesy). Superior attention to detail. Ability to successfully manage and coordinate assigned projects.

Must be able to demonstrate skills that will enable the manager to dissect problems, identify root causes, and offer suggestions to clients to rectify situations. Ability to work effectively with senior level faculty and staff.
