Job Functions, Duties, Responsibilities and Position Qualifications:

General Description:

As a Courier Dispatcher at WestPac Labs, you will be responsible for various administrative duties for the Logistics Department. A Courier Dispatcher will ensure medical specimens, orders, and supplies are delivered effectively and efficiently throughout the region to clients, Draw Sites, and Laboratories. 

The Courier Dispatcher at WestPac Labs will:

Essential Job Functions:

  • Monitor locations of Couriers to coordinate service and schedules.
  • Dispatch medical specimens, supplies, and Couriers to the appropriate locations determined by client requests.
  • Answer phone calls and direct them to the appropriate Logistics Department team member.
  • Oversee all communications within region and provide Logistics Manager with updates.
  • Communicate with clients, Draw Sites, and Laboratories to address questions, problems, or requests for service.
  • Record and maintain files or client request records and other dispatch information.
  • Demonstrate familiarity with various office machines, including facsimile machines, copiers, and scanners.
  • Receive, sort, and prepare all reports for each delivery route and their corresponding Courier.
  • Ensure laboratory supplies and return specimen(s) are sent out via Courier to the appropriate location in a timely manner. 
  • Establish and maintain a line of communication with Logistics Manager, Laboratory, and Draw Sites.
  • Provide Couriers with information about traffic problems like construction areas, accidents, congestion, weather conditions, and other hazards.
  • Present self professionally and maintain a positive relationship with clients and Couriers.
  • Ensure client and Courier information is updated accurately within the company's Delivery Management System.
  • Participate in and support all Quality Assurance and Quality Improvement endeavors for the laboratory, as necessary.
  • In addition to typical work schedule, may be scheduled to work weekends, work split shifts, overtime, holidays, and attend mandatory company meetings, as necessary.
  • Be required to perform other job duties, as necessary.

  • Be results and performance driven with a focus on continuous improvement and learning.
  • Possess skills in active listening, critical thinking, reading comprehension, and time management.
  • Have knowledge of principles and processes for providing customer and personal services.
  • Have knowledge of administrative concepts including strategic planning, resource allocation, and coordination of people and resources.

Required Education and Experience:

  • Have a completed high school diploma or equivalent.
  • Experience in a high volume, fast-paced work environment.

Preferred Education and Experience:

  • Have 1-3 years of experience within a Logistics or Administrative role.


  • Meet applicable company insurance guidelines and release Department of Motor Vehicles driving records if required to drive or operate a company vehicle in the performance of their duties. Must comply with company driving policies and procedures.
  • Participate in occasional travel to interact with Division personnel, attend meetings, or participate in educational training, as needed.

Physical Demands:

  • Have the ability to require lifting and carrying objects up to 25 pounds.
  • Be able to reach, stoop/bend, kneel/crouch, push/pull, and walk.
  • Engage in moderate to frequent computer work.
  • Engage in moderate to frequent use of telephone and fax.
  • Have the ability to see, hear, talk, and respond adequately.
